Device management

You can select an active device at the bottom of the XPhone Client. Depending on the administrative setting, you can choose from the following:

  • office Office

    By selecting this device, you control a desk phone.

  • softphone Softphone Desktop

    By selecting this device, you are using XPhone Connect Client with an audio device for phone calls.

  • softphone Softphone Mobile

    By choosing this device you are using XPhone Connect Mobile for phone calls.

  • mobile Mobile

    By selecting this device, you will use your cell phone to make calls via the AnyDevice function.

  • homeoffice Homeoffice

    By selecting this device, you will use your home office phone for calls via the AnyDevice function.

  • office mobile homeoffice telephone softphone Any device

    You can define up to two devices yourself and use them with the AnyDevice function.

Hint

Your administrator decides which devices you can use.

AnyDevice

AnyDevice allows you to use any phone for business. You just show your office number to the customer. Functions like callback or call swap are also available.

To activate an AnyDevice (e.g. cell phone or home office phone) click on the arrow at the bottom right and select a previously configured AnyDevice (see also Menu symbol menue > Configuration > device management).

Call

  • If you now dial via XPhone Connect Client, your AnyDevice will be called first.

  • Answer the call.

  • The actual connection, for example to the customer, is now established automatically.

  • Functions such as consultation or call swap are available on the XPhone Connect Client.

When you receive a call, your AnyDevice rings. You also have all the usual telephony functions via the XPhone Connect Client, such as consultation, call swap or Transfer.

Softphone Desktop

With XPhone Connect Softphone Desktop you can use the telephony functions with the XPhone Connect Client without a hardware phone. The voice is either input and output via the microphone and the speaker of the computer or via a headset. You can use the Softphone Desktop to replace your hardware phone or use it in addition to your existing phone.

Calling

  1. Select the Softphone Desktop as the active device (softphone in the client at the bottom right, see also menu icon menue > configuration > device management).

  2. Select a phone number e.g. directly from the contact or enter it manually via the dial keys.

  3. Functions such as consultation, call swap or muting of the headset microphone are available in the XPhone Connect Client.

  4. During a call, you can use the dialing keys to send DTMF signals (key tones), e.g. to control an answering machine or the like.

If you are called, it rings directly in your softphone desktop. You also have all the usual telephony functions via the XPhone Connect Client, such as consultation, call swap or Transfer.

You can also activate parallel ringing in device management. Then incoming calls will be signaled on both Softphone Mobile and Softphone Desktop. You decide with which device you want to accept the call.

Hint

If there are any issues with the connection (noises, dropouts, disconnections), you can check the connection quality on the client side during the call. Move the mouse over the icon softphone-verbindung and take a screenshot, for example, if this information is requested by support.

Audio

The audio settings for the softphone (e.g. volume and sensitivity of the device used) can be found in the Settings dialog of the XPhone Connect Client and directly in the selection of the active device in the client window at the bottom right (Active device > Manage softphone audio devices).

If you have multiple audio devices in use (e.g. a USB headset on the docking station and a Bluetooth headset in the notebook case), a separate audio profile is stored for each device and activated when the corresponding device is selected.

Softphone Mobile

Hint

To use this device, you need the XPhone Connect Mobile app. The Mobile App is installed on the smartphone either via the Google Play Store or via the Apple App Store.

With XPhone Connect Softphone Mobile you can use the telephony functions with the XPhone Connect Mobile App via the data connection (WLAN, LTE or 4G) of your smartphone.

The voice is either input and output via the microphone and speaker of the smartphone or via a headset (e.g. via Blutooth headset or jack headset). You can use the Softphone Mobile to replace your hardware phone or use it in addition to your existing phone.

Managing calls with the XPhone Connect Client

  1. Select the Softphone Mobile as the active device (softphone in the client at the bottom right, see also menu icon menue > Configuration > device management).

  2. Select a phone number e.g. directly from the contact or enter it manually via the dial keys.

  3. You receive an XPhone Connect call via your data connection. Answer this call.

  4. Functions such as consultation, call swap or Transfer are available in the XPhone Connect Client.

  5. During a call, you can use the dialing keys to send DTMF signals (key tones), e.g. to control an answering machine or the like.

If you are called, it rings directly in your Softphone Mobile and you have to answer the call on the smartphone. You also have all the usual telephony functions via the XPhone Connect Client, such as callback, toggling or Transfer.

You can also activate parallel ringing in device management. Then incoming calls will be signaled on both Softphone Mobile and Softphone Desktop. You decide with which device you want to accept the call.

Managing calls with XPhone Connect Mobile

  1. Open the XPhone Connect Mobile app on your smartphone.

  2. Select Softphone Mobile as the active device.

  3. Find a contact and press the phone number or dial a phone number using the dial pad.

    • You will be asked if you want to make the call via Softphone Mobile or as a Direct call via your SIM card.

      • If you select Softphone Mobile, your office number will be transmitted and the data connection will be used (WLAN, LTE or 4G).

      • If you select Direct call, the phone number of your SIM card will be transmitted (possibly telephone connection costs).

  4. Functions such as consultation, call swap or Transfer are available both in the XPhone Connect Mobile App and in the XPhone Connect Client.
