You are using the software XPhone UC V4 which is to be replaced with XPhone Connect.

Hardware replacement

The following steps are required when changing from XPhone UC to XPhone Connect with new hardware:

  1. First install the XPhone Connect Server on the new hardware (see also chapter: Installation XPhone Connect Server).

  2. Switch to the Web Administration to System settings > Licenses > License management.

  3. Select either Import license package or Manage license package online.

Hint

If you are already using an XPhone UC system with full licenses, always select Existing customer” when asked and then enter your old MAC address (the address of the existing XPhone UC hardware). Enter the data of the new hardware only in one of the following steps.

Hint

  • Even if you want to operate your XPhone Connect Server on hardware other than your previous XPhone UC System, a MAC exchange is not necessary and may not be carried out; when activating the XPhone Connect Server licenses, simply select your previous XPhone UC System as an update-compatible base system. Please also note the license specifications.

  • If you have implemented a MAC exchange, conclude this exchange for your XPhone UC system first for the new hardware. Only then should you request the XPhone Connect licenses.

License upgrade process

Hint

Never exchange your old license(s). This will prevent the upgrade license(s) from being assigned to any customer. Assigning the old licenses to the customer system is important in the license upgrade process.

  1. As soon as you have received your upgrade licenses, open our Website for online license management.

  2. Select XPhone Connect License Management. A new window opens. Enter the license request code received and the safety code and click Next.

  3. In the next step, you must click Existing customer and select the Determine license holder via MAC address option in the drop-down menu. Enter the MAC address of your previous system and click Next.

  4. The license holder’s customer data appears. Click Next to continue.

  5. Enter the hardware ID of your new system and click Next.

  6. You will see the available license request codes for the upgrade licenses. Important: Select the MAC address for your XPhone UC or XPhone Corporate V3 system for which you wish to implement an upgrade. Do this by clicking Select to give it an orange background. Then click Next.

  7. A summary of the upgrade process is displayed. Click Next.

  8. Confirm your entries by setting a checkmark checkbox and click Generating and delivering licenses.

  9. The following confirmation appears: Generating licenses and sending to the e-mail address(es) indicated.

The XPhone Connect Migration Manager exports the following data:

System settings

  • CTI

    • Dialling parameter

    • PBX: landline

  • UM

    • Gateway

    • Fax: general settings, printers

    • Text messages: General settings

    • Voicemail: greetings

    • Auto Attendants: schedule, filter

    • MWI

User data

  • Personal greetings and employee names recorded by the user

  • Dynamic lines (export all lines incl. the dynamic lines as CSV file, from XPhone Connect V5 SR3)

You can only select or deselect System configuration or User data checkbox for export checkbox_leer. During import, you decide which data to import.

Hint

Please note that certain prerequisites must be created in order to be able to re-import all data that has been exported. For more info, see Export.

Start-up

This tool enables you to export data from XPhone UC V4 Server and import it to XPhone Connect Server. There are two types of the XPhone Connect Migration Manager:

Please make sure that you use at least version 4.5.5 of the XPhone UC Server. Start the Migration Manager on your XPhone Server service manager which you can call up via the START menu in Windows. You can find the Migration Manager under Tools.

  1. Start the XPhone Connect Migration manager on your XPhone UC V4 Server by double-clicking on XPhoneMigration.

  2. Select checkbox / checkbox_leer if you want to export the system configuration and/or user data (only personal voicemail greetings and names) and uncheck accordingly if necessary. The checkboxes are set (default).

  3. Click Start export.

  4. As soon as the export is completed, a notification appears and the folder with the exported data is opened.

  5. The exported data is located in the following directory: C:\ProgramData\C4B\Migration\XPhoneServerMigration

User data - dynamic lines

The Migration Manager creates three CSV files for export if the “Dynamic lines” option is set (from XPhone Connect V5 SR3):

  • UserLines.csv

    • Lists for each user all allocated lines for users without dynamic line allocation. An overview appears depicting the lines allocated to the users in XPhone UC.

  • UserLinesDynamic.csv

    • Lists per user all assigned lines for users with dynamic line assignment. You can use the export file directly for import into the XPhone Connect Server via the Text connector!

  • DynamicLines.csv

    • Lists all lines with the “ConsoleIdentification” attribute. These are lines which can be used for dynamic line allocation. This table is required in order to allocate the same line attributes in XPhone Connect as in XPhone UC.

The files UserLines.csv and DynamicLines.csv are for overview purposes, both are not suitable for use with a Text connector.

The users themselves can be re-imported after export to a CSV file using Text connector, with the Windows SID of the users serving as the key. This results in the advantage that even with previously manually created users after import via the text connector subsequently also use a Active Directory connector.

Attention

  • Before user data (Before user data (personal voicemail greetings and names) can be imported, users must first be created in XPhone Connect.

    • A unique email address per user is important here, as this is the basis for the match, i.e. the assignment to the user data.

  • You can create users manually, using AD connector or text connector.

  1. Copy the data already exported from XPhone UC into a new directory on the XPhone Connect Server, e.g.: C:\ProgramData\C4B\Migration.

  2. Start the XPhone Connect Server manager (on the XPhone Connect Server). There, click Tools > Migration Manager.

    • XPhone Connect Server migration opens.

    • The left EXPORT side is used to export data of an XPhone Connect Server without a large backup. This data can then, for example, be added to an XPhone Connect Server at a different location.

    • The right IMPORT side is used to import data from an export.

  3. Enter the path to the folder you created in 1.) containing the exported data in Directory with migration data.

  4. Now, select which system settings you want to import specifically under Import. All boxes are checked by default. If you only want to import selected data, you can deselect everything first by clicking No selection and then checking the desired boxes.

  5. To import system settings, click Import selected system settings!.

    • You can also do the import several times. The data is then overwritten again.

  6. To be able to import user data, observe the notes above and then click Import user data….

    1. Before the actual import can be started, the Migration Manager now compares the e-mail addresses of exported user data with the e-mail addresses of existing users.

    2. You will be shown an overview of all users. Coloured highlighting indicates if data is already available:

      • If the user is highlighted in green, data has not been imported or individually customised yet.

      • Users highlighted in yellow indicate that data is already available (either from a previous import or individual greetings were already recorded). In this case, all data would be overwritten when clicking Import. If you do not want this, remove the corresponding checkmarks before the import.

    3. You can display users without matches by clicking the Users without match button. These users will not be affected by the import. The window that opens now contains two tables:

      • Left table: Shows users for whom exported data is available but no match was found in the XPhone Connect Server.

      • Right table: Shows users of the XPhone Connect Server for whom exported data could not be found and allocated.

    4. You can see an overview of exported XPhone UC users for whom data is not available by clicking the Users without data button. The match was successful here, but data for the import is not available.

  7. Finally, simply click Start import!.

Import lines

Exporting lines generates a tabular overview (CSV files) of all lines (incl. dynamic lines) assigned to users. The CSV files serve as a basis for text connectors to transfer lines directly from XPhone UC.

Import lines via text connectors - UserLinesDynamic.csv

The UserLinesDynamic.csv file can be used for the XPhone Connect text connector. A dynamic line assignment from XPhone UC directly to XPhone Connect is thus transferable.

Hint

The file is not suitable for creating new users in XPhone Connect. However, it can be used to change the line assignment of existing users.

The file contains a number of columns whose headers begin with XPhoneUC_. These columns are used exclusively to identify the users created in XPhone UC. They are not used by the text connector.

Only relevant for the Text connector are the columns ID and LineTypeDynamic. The SID from the Active Directory is used as the ID - if available. This ID is used to uniquely assign users in XPhone UC and XPhone Connect.

Proceed as follows:

  1. In XPhone Connect, users are created via an AD connector. The AD connector is configured so that it only performs a line assignment based on the main line when the user is newly created. The AD connector is started.

  2. A text connector is created based on UserLinesDynamic.csv with these options:

  3. This Text connector only changes the main line of the contained users to “dynamic”. No other fields are changed. Also no new users are created.

Import voicemail greetings

The migration when using the voicemail function must be done via several individual steps:

  1. Export of all settings incl. user announcements and recorded names (see above)

  2. Import of the configuration into the new XPhone Connect Server (without the announcements, as no assignment can be made yet) (see above).

  3. Start of the XPhone Connect server service and creation of users via CSV from the V4 Migration Manager or alternatively via an AD connector or manual creation of users

  4. Now the voicemail announcements can be imported using XPhone Connect Migration Manager

Attention

Prerequisite for assigning the announcements to the users: The e-mail addresses of the users must be stored identically in the XPhone Connect Server as in the V4 Server.
