Change user
This section is about settings that can be made for a user.
In the header of the user dialogue you can see whether the user is managed by a connector, whether the user uses a mobile and/or desktop client and which version the desktop client has.
General (master data)
- First name
Assign a first name to the user.
- Last name (Mandatory field)
Assign a last name to a user. This is also displayed in the overview of all users.
- Work phone number
Determines the call number of the main line and the call number of the user’s voice box. Is displayed in the overview of all users. A Test button is displayed behind the call number field if the call number type Master Data was selected under Telephony.
In Work phone number, enter the telephone number the voicebox should have. Please ensure that no other user is assigned this number!
If this user does not use a telephony function, select no line in the dropdown menu for the user in the sub-section Telephony.
- Work fax number
Enter the fax number of the personal fax inbox. We recommend entering the number including the country code, area code, main phone number and extension.
- Mobile phone number
Determines the user’s direct access number to the voicebox, the text message sender number, the text message notification number and is required for the AnyDevice device management, if this was activated in Telephony settings of the location.
Email address of user. Enter a valid email address (only when using an external email server).
- Home phone number
Optional, private telephone number of the user.
- Home office number
Optional, home office number of the user. Required for AnyDevice device management, which was activated in Telephony settings of the location.
- Description
Optional, is shown in the overview of all users.
Hint
The Work phone number field is set up as a telephony line by default. The prerequisite for this is that the extension has already been set up previously in the System settings > Telephony & Meetings > Telephony > Lines area. To check whether the line already exists, click Test. If several dialling parameters have been created, for example because several PBX systems are connected, the call number must be entered uniquely. Otherwise, entering the extension number is sufficient.
The Work phone number, Work fax number **, **Mobile phone number and E-mail fields are mandatory input fields for the Unified Messaging functionality.

Attention
The complete area code including preceding zero (e. g. 089 for Munich) must be entered.
If a country code is provided, it must be preceded by + or 00 (e.g +49 or 0049 for Germany).
Any characters and spaces are allowed between the country code, area code and telephone number.
Internal company extensions are recognised as such if they correspond to the length of internal phone number defined in XPhone Connect Server under Systemeinstellungen > Wahlparameter > Properties >(e.g. 170, where length of internal phone number = 3).
Location
Enter the business contact data of the user here.
Language
Select the language that is to be used as default setting for this user.

User account
User
The system can use this address to identify the user individually. The login name is also used for the XPhone Connect Server login. The logon name is constructed from a prefix and the domain name.

Login types
- Permit Windows logon
Activate the Permit Windows logon check box if the user logs into a Windows domain. Login happens automatically without entering username and password when the XPhone Connect Client starts. Click Check name to ensure that the login name corresponds to the desired user. Check whether the name is the name of the domain user and not a user with the same name on a local computer.
- Permit XPhone Connect Server logon
Activate the check box Permit XPhone Connect Server logon Check box to provide the user with access to non-Windows domains. Create a user account with login name (see above) by assigning a login name and a password. Enter a new password and enter it again in the Password confirmation.
Hint
If the user uses a mobile client, the Permit XPhone Connect Server logon check box must be activated.
- User locked out
With the User locked out setting, the access authorisation can be activated or deactivated. If a user is blocked after entering the PIN incorrectly, the block can be removed here.
Telephony
Main line
- Phone number
Configure the settings for the main line under Phone number.
The default value is the phone number specified in the Work phone number field in the General (master data) (master data) section.
If you have selected the phone number type Work phone number master data you will find the Test button under General (master data).
If you have selected Other as the phone number type, you can then Test or Select the line, in which case a search mask opens.
If the user is to use a dynamic line because he works at different locations with differing extensions, you need to select dynamic from the drop-down list. That means that the line will no longer be allocated statically. However, this requires that the lines are already configured for dynamic allocation.
Important
Do not activate dynamic line allocation when using AnyDevice.
- Line name
The name is assigned when the line is created and can be edited under System settings > Telephony & Meetings > Telephony > Lines.
- Display name
The display name results from the parameters previously set under System settings > Telephony & Meetings > Telephony > General and can be edited if necessary.
The displayed name is shown as the line name in the XPhone Connect Client.
Authorised users (e.g. team colleagues, see Relationships) can see this line.
Other lines
- Add line
If a user is to have additional lines, click Add line in Other lines. Enter a filter if necessary and then select the required line. Click Add selected line to user to assign this line to the user as an additional line. A user can use up to five lines.
Voicemail
- Phone number
By default, the phone number previously set up under general, Work phone number or Mobile phone number, is taken over here.
- Direct access phone number
This Direct access phone number enables access to the personal voicebox without requesting a PIN. It can be changed if required. PIN entry is not required by default. If the voicebox is access with a different telephone number, the PIN must always be entered.
- Change PIN
If this is to be changed for the user, click on the corresponding button and assign a new PIN.
Hint
For better security, users can activate an option in the XPhone Connect Client settings and their voicemail menu so that a PIN is always required, even from these phone numbers. The direct access number can also be changed in the XPhone Connect Client settings.
Fax
- Fax number
The telephone number work fax set up as default in General (master data) is entered here (to do this, Master data Work fax number must be selected). If another telephone number is to be used, select Other telephone number and enter the fax number.
Text message
- Sender phone number
The Mobile phone number set up as default in General (master data) is entered here and is used as sender telephone number for sending text messages. If another telephone number is to be used, select Other telephone number and enter the telephone number.
- Notification phone number
The Mobile phone number set up as default in General (master data) is entered here and is used as notification telephone number for sending text messages e.g. when new fax documents were received. If another telephone number is to be used, select Other telephone number and enter the telephone number.
Hint
The user can change these telephone numbers independently at the XPhone Connect Client in Settings > Text messages and in his voicemail menu.
Relationships
- This user is a VIP
All default settings for relationships are deactivated for VIPs. VIPs therefore retain control over the information they wish to make available to other persons.
