Assign licenses

Licenses are allocated to a user as soon as the respective function is configured for him and depending on whether this user actually logs into the system. The location configuration (User administration) points out the licenses necessary in each case.

Users that currently are not to use a license can be moved to a configuration group where the corresponding functions are deactivated. Note here that possible personal settings are deleted and the deactivated functions are no longer available, for example receiving of faxes or voicemail.

Sub-licensing

If there are fewer licenses available than required, the user-related licenses are allocated according to a defined list so that you can make sure after a system restart that the licenses are allocated to the same user as before the restart.

If you want to check an individual location for sub-licensing, go to the location and then select in Options (license1) > Show license overview for the location:

In the user overview (XPhone Connect Server > User administration > Location or Configuration group) you can see a warning symbol for the respective users license2 in the column * if they do not have sufficient licenses.

Analytics licenses:

Access to the Analytics website is only possible when all team members have a valid license. The team leader does not need a license. If there are more team members than available licenses, a warning appears on the Analytics configuration page as well as on the start page of the Web Administration.

Types of XPhone Connect Licenses

User based licenses

Office

User license to use unified communications functions with the XPhone Connect Client and groupware. Consists of the following functions:

TeamDesk

User license for hotline caller management including evaluations to improve team accessibility. Includes the following functions:

Hotline-Management

  • Status display per hotline: Team members, callers, active calls, callers in queue with waiting time

  • Different distribution strategies for incoming calls

  • Business hours controlled announcements

  • Automatic or manual post-processing time for team members (configurable)

  • Presence management for hotlines

  • Caller identification in the queue e.g. from connected ERP/CRM systems

  • Business process optimization by displaying information from ERP/CRM systems and manually or automatically opening business applications (customizable dashboards)

  • Upload for individual announcements, greetings and queue music

  • Upload and configuration for individual business hours announcements (e.g. holiday or company vacation)

  • Assignment of team members to one or more hotlines

  • OneNumber concept: use with Softphone, AnyDevice and system phones possible

Evaluations (Analytics)

  • Graphical web frontend for PC and tablet

  • Evaluation of TeamDesk groups (hotline calls and/or direct calls)

Voicemail

User license for use of extensive voicemail functions in conjunction with XPhone Connect Client, groupware, other applications or as a pure voicemail solution (stand-alone)

  • Personal answering machine with upload function for professional announcements.

  • Centralized voicemail with presence-controlled, multilingual announcements.

  • Rule-controlled special announcements and DTMF call routing.

  • Remote access and MWI support for compatible PBXs.

  • Voicemail notification via e-mail and SMS, among others.

  • Caller identification e.g. from connected ERP/CRM system.

  • Web-based configuration interface for voicemail users.

When using XPhone Connect Client/Outlook Add-On additionally: - Visual Voicemail in XPhone Connect Client and in the MobileApp. - Integration e.g. in Outlook or the XPhone Connect Client.

Requirements:

  • XPhone Connect 8 - SERVER

  • min. 2 XPhone Connect 8 - IP-CHANNEL per system.

  • When using voicemail in the Connect Client, an XPhone Connect 8 - OFFICE / OFFICE PLUS license is required.

  • When using voicemail in the MobileApp, an XPhone Connect 8 - OFFICE PLUS license is required.

  • SMS notification requires OFFICE licenses.

Fax

User license for the use of functions for sending and receiving faxes when used with XPhone Connect Client, groupware, other applications or as a pure fax solution (stand-alone).

  • Fax2Mail and Mail2Fax

  • Fax printer driver

  • Central fax archive feature

  • Sender identification e.g. from connected ERP/CRM systems.

  • API for sending and receiving faxes from applications.

  • Web-based configuration interface for fax users.

When using XPhone Connect Client / Outlook Add-On additionally:

  • Fax dispatch: time-controlled, incl. live preview and prioritization.

  • Fax annotations incl. stamp and comment function.

  • Serial fax macro for Word.

  • Fax editor for templates & cover sheets.

  • Personal fax journal in XPhone Connect Client and in the MobileApp.

Requirements:

  • XPhone Connect 8 - SERVER

  • min. 1 XPhone Connect 8 - IP-CHANNEL

  • When using fax in the Connect Client, corresponding XPhone Connect 8 - OFFICE / OFFICE PLUS licenses are required.

TAPI Line

TAPI-Line license, which provides access to CTI control of PBX extensions

  • Use as universal TAPI server.

  • Multi-TK systems/multi-site capable.

  • Supports Terminal Server/Hyper-V.

  • TAPI 1.4/2.0/2.1/3.0 compatible.

Requirements:

  • XPhone Connect 8 - SERVER

Contacts

User license to search directory services, applications and databases when using other UC systems/clients/endpoints.

  • Central contact data connection with the XPhone Connect Directory

  • Allows searching in all connected directories, e.g. Salesforce, Microsoft Outlook/Exchange, Dynamics CRM/NAV/AX, SAP, Dynamics 365 for Sales

  • Caller identification in the client Functionality depends on the UC system/client (see www.c4b.com).

Requirements:

  • XPhone Connect 8 - SERVER

Dashboard

User license for application integration into supported UC clients. Adds the following features to the XPhone Connect 8 - CONTACTS license:

  • Dashboard for pairing business applications with supported UC clients.

  • Display dashboards with information from connected applications.

  • Shortcuts to connected applications.

  • Dashboards can be individually designed for individual employees, teams or company divisions

  • Graphical web frontend (AppLink Dashboard Designer) for creating and customizing dashboards

  • Set of rules for defining conditions/times at which information is to be displayed or actions are to be performed

  • Functionality depends on the UC system/client. List of released UC clients (see www.c4b.com).

Server license and prerequisite for using the extension licenses: OFFICE, OFFICE PLUS, TEAMDESK, TAPI, FAX, VOICEMAIL, AUTO ATTENDANT, ADDITIONAL DATABASES, CONTACTS, DASHBOARD

  • Server license incl. web-based administration.

  • TC connection (CSTA/TAPI) for UC services.

  • Multi-TK-System- und Multistandortfähig.

  • Assignment of administrators/rights and licenses per site.

  • Connectors for user adoption and management.

  • Directory service for connecting contact data from business applications.

  • Directory supports 10 data sources by default (extensible).

IP Channel

Extension license: IP interface to the PBX system for using fax, voicemail and Auto Attendant with IP PBX systems.

  • License contains one B-channel + IP-CAPI channel (XCAPI) each.

  • Supports SIP/H.323/T.38.

  • 1 license enables 1 IP channel.

Recommendation for average use:

  • 1 IP channel per 25 users.

  • min. 2 IP channels when using voicemail or auto attendant services.

Auto Attendant

Extension license for the use of XPhone Connect Auto Attendant.

  • 1 license unlocks 20 Auto Attendant channels.

  • Automatic switchboard.

  • Announcement before reporting.

  • Rule-driven announcements and actions.

  • Announcement modules in studio quality.

  • Upload individual announcements.

Requirements:

  • XPhone Connect 8 - SERVER

and

  • min. 2 XPhone Connect 8 - IP-CHANNELS.

Additional Databases

Extension license for using 10 additional data sources with XPhone Connect Server

Requirements:

UC solution for telephone systems up to 5,000 users

The licensing model is modular so that you can license the individual UC services individually and for each user. No additional XPhone licenses are required for connecting one or more PBXs to an XPhone Connect server.

Hint

When purchasing an XPhone Connect Office Plus license, one basic XPhone Connect Office license is included and displayed as such.

  • Example: If a customer buys 100x XPhone Connect Office licenses and 50x XPhone Connect Office Plus licenses, he has 150x XPhone Connect Office licenses, 50x of which have the extension license (Office Plus). In XPhone Connect Server the licenses are displayed as follows: 150x XPhone Connect Office licenses & 50x XPhone Connect Office Plus licenses. Please note that the customer does not have a total of (!) 200 licenses, but 150.

  • With one server license, up to 10 data sources can be connected in XPhone Connect Directory.

License model without XPhone Connect Client

Expansion of existing UC solutions

XPhone Connect can be used as a function extension of other UC solutions for contact data integration or as a stand-alone server for fax, voicemail and/or auto attendant as well as a TAPI server (TAPI service provider), even without using the XPhone Connect Client. Here, too, individual and user-specific licensing of the individual UC services is possible. No additional XPhone Connect licenses are required for connecting one or more PBX systems to an XPhone Connect server. The use of Analytics requires a CTI connection (TAPI, CSTA) between the XPhone Connect Server and the PBX.
