Microsoft Outlook
The plug-in for Outlook is installed along with the XPhone Connect Client if an Outlook version is already installed on the computer.
Hint
In Outlook 2016 and Outlook 2019, phone numbers are no longer displayed as hyperlinks after a certain version of Outlook. As a workaround, the phone number can be selected by right-clicking on the contact, or hotkeys can be used.
Customize email for meeting invitations
Invitations to meetings scheduled in Outlook are sent by e-mail to the participants. The XML templates for these invitations are installed with the Outlook integration of the XPhone Connect Client:
C:\Program Files (x86)\C4B\XPhone Connect Client\MailTemplates\System\XphoneOutlookMeetingTemplate_<Sprache>.xml
The template is available in four languages, but multiple languages can be used in a single template by copying the appropriate text blocks from one file to the other.
The XML files must be copied out of the directory for customization and pasted one level up to:
C:\Program Files (x86)\C4B\XPhone Connect Client\MailTemplates\
These copies can be edited and are then used by the server when sending reminders.
Templates for invitations to scheduled meetings from Outlook can be customized (changes must be made in each language.):
Meeting place
Order of dial-in data
Invitation content
Customization for different languages
The following variables are replaced when generating the invitation and can also be used in your own templates:
- ``%webmeetingurl%`` (URL zur Teilnahme Webmeeting)
- ``%meetingid%`` (Meeting ID)
- ``%premeetingactivation%`` (Vorlaufzeit zur Aktivierung des Meetings vor Meetingbeginn)
- ``%dialin_de%`` (Einwahlnummer Deutsch)
- ``%dialin_en%`` (Einwahlnummer Englisch)
- ``%dialin_fr%`` (Einwahlnummer Französisch)
- ``%dialin_it%`` (Einwahlnummer Italienisch)
AddIn without meetings
If you want to restrict meetings to ad hoc meetings and prevent meeting invitations to external parties, navigate to XPhone Connect Server > User Management > Location > Connect Client > Advanced Settings.
Add here the entry OutlookAddinMeeting.Disable
with the values 1=enabled
and 0=disabled
.
If the value is set to 1, the Outlook AddIn does not show any meetings, although meetings are configured. Ad-hoc meetings are possible, scheduled meetings via Outlook are not.
