Notes#

Central contact database#

The data source Notes: Central database makes a central database on the Domino server available to all XPhone Connect Directory users.

Requirements
  • Domino Server as a data source

  • Notes users with at least read access to the desired databases

  • Notes Client on the XPhone Connect Directory Server

Hint

The Notes client should be installed with the Only for me option - otherwise there may be problems with the connection test.

  • In the Windows account under which the XPhone Connect Directory Server also runs (XPhone Connect service account), the Notes user with which access to the database is to take place must be set up as the Notes standard user.

This is configured as follows:
  • Log in with the XPhone Connect Server service account.

  • Start the Notes client in the context of this Windows user.

  • Select the ID file of the Notes user with access rights and log in with the password of the Notes user.

  • Open the central address book in the Notes client as a test to check the access authorization.

  • Exit the Notes client again.

  • Open the configuration interface of the XPhone Connect Directory.

  • Click on Add data source.

  • Select the data source type Notes: Central database.

  • Click on the Next button.

  • Carry out the steps in the dialog:

  1. First configure the Basic settings.

  2. Connection / Database

In these sections you set up the connection to the server and to the database and filter the data records.

    • Enter the password of the Notes user for XPhone Connect access to the Domino server (see above under Prerequisites).

    • Test the connection.

      Hint

The Notes client should be installed with the Only for me option - otherwise there may be problems with the connection test.

    • Select the server database to be integrated and select the data by using a view or filter.

      Hint

The server name is read from the ID file that is copied to the user folder of the XPhone Connect service account when logging on to the client (see above under Prerequisites).

  3. Configure the Index schedule.

  4. Configure the Data access.

  5. Configure the Phone number conversion.

  6. Configure the Authorisations.

  7. Configure the Priority.

  8. Configure the Proximity search.

  9. Complete the configuration of the data source with Overview.

Central contact database#

The data source Notes: Private contact database provides users with their private Notes contact database. Each user can only access their own personal contacts. Other users can neither access their personal contacts nor the personal contacts of other users.

Requirements
  • Notes user who has at least read access to the desired databases.

  • An supported Notes client must be installed on the XPhone Connect Directory Server: Notes, Domino Designer, Domino Admin.

    • Please also refer to our sales whitepaper in our partner portal.

    Hint

The Notes client should be installed with the Only for me option - otherwise there may be problems with the connection test.

  • The XPhone Connect Directory Server must be run under the Notes user who has access to the database and is set up as the default user in the Notes client. And this is how it is set up:

    • Log in to the desktop of the XPhone Connect Directory Server with your Windows user account.

    • Start the Notes client.

    • Select the user ID file and log in with the correct password.

    • Exit the client.

  • The Notes user should have at least read access to the desired databases.

  • The user databases are usually located in the Mails folder on the Domino server.

  • Open the configuration interface of the XPhone Connect Directory.

  • Click on Add data source.

  • Select the data source type Notes: Private contact database.

  • Click on the Next button.

  • Carry out the steps in the dialog:

  1. First configure the Basic settings.

  2. Connection

In this step you can make the connection settings from XPhone Connect Directory to Notes. Enter the password here, which you must also enter if you start Notes under the same Windows account under which the XPhone Connect Server is running.

You can check the connection via Connection test. A corresponding message appears.

    Attention

The Notes client should be installed with the Only for me option - otherwise there may be problems with the connection test.

  3. Identification

The corresponding Notes user must be determined for the user logged on to the XPhone Connect Directory. The assignment is made via the e-mail address of the XPhone Connect Directory user. It is determined from the XPhone Connect master data or from the Active Directory. The e-mail addresses determined are searched for in a Notes lookup database (see next point) in order to find the corresponding Notes user.

Select the origin of the e-mail address(es) and optionally assign a lifetime for the cache entries.

  4. Lookup data base

The Notes lookup database makes it possible to determine the personal Notes database file via a user’s e-mail address (see previous point: Identification).

  5. User data base

    1. Optionally, you can define the hit list using a view. The prerequisite is that all user databases use the same database template.

    2. Optionally, you can define the number of hits using a filter. The limitation to (Type=Person) is recommended.

  6. Configure the Index schedule.

  7. Configure the Data access.

  8. Configure the Phone number conversion.

  9. Configure the Authorisations.

  10. Configure the Priority.

  11. Configure the Proximity search.

  12. Complete the configuration of the data source with Overview.

Form name for creating new contacts#

When creating new Notes contacts, the hard-coded Notes form name can be set via the data source configuration. The configuration can be carried out as follows:

  1. Create a Notes data source (private/central) in the XPhone Connect Directory.

  2. Export the Notes data source as an XML file: In the XPhone Connect Directory, select the Export configuration function in the drop-down menu of the respective data source (where Deactivate and Delete are also possible).

  3. Save the XML file to any location and open it for editing.

  4. Configuration/Datasource/SpecialConfig/NotesConfig/Formname, the default value Person can be overwritten as required.

  5. Delete the data source you have just exported.

  6. Import your changed configuration in the XPhone Connect Directory > Add data source > Import configuration.
